What to put on an estimate

Your details

Your name or business name, address and tax ID, so your client knows who the price comes from.

Your client

Who the estimate is for, with their email and address.

Estimate number and date

A number you can refer to later and the date you send it.

What's included

One line per piece of work, with quantity and price. Being specific now avoids arguments later.

Tax and total

The subtotal, any tax and the total, in the currency your client pays in.

How long it's valid

Prices change. A "valid until" date makes clear how long you'll hold this price.

Estimate, quote or invoice?

They look alike, but each one does a different job in getting paid.

Estimate

Your best guess at the price, based on what you know now. It can change if the work changes.

Before the work, when the scope may still move.

Quote

A fixed price for clearly defined work. Once your client accepts it, that's the price.

Before the work, when the scope is settled.

Invoice

The request for payment, with what was done, the amount due and when to pay.

After the work, or at agreed milestones.

Questions

Is it really free?
Yes. There's no limit, no trial and no card. Make as many estimates as you like.
Is there a watermark?
No. The PDF has a small "Powered by Invoist.app" line at the bottom, and that's how we keep the generator free.
Do you store my estimate?
No. The estimate is built in your browser and never sent to us. Your draft stays in this browser so you can come back to it, and Start a new estimate removes it.
How long should an estimate be valid?
Thirty days is common, and it's the default here. Pick a shorter date if your costs change quickly.
Which currencies can I use?
Any of the world's currencies, from US dollars and euros to yen and baht. The PDF shows amounts in the currency you pick.
How do I send it to my client?
Download the PDF and attach it to an email. With a free Invoist account you keep every estimate and turn the accepted one into an invoice without retyping it.
